Attendees who need an invitation letter for visa applications or administrative procedures may send a request to inscripcionsepes@cyex.es
To enable us to send it to you, please submit your visa letter request together with the following documentation:
- Copy of your passport*
- Expected date of entry into the country / Expected date of departure from the country
- Address of the booked hotel (attach booking confirmation)
- Congress registration ID number (invitations will only be accepted and processed for paid registrations)
- Country and current residential address
(*) You must hold a valid passport to enter Spain. Your passport must be valid for at least six months from the date of entry into Spain.
Languages
Invitation letters will be available in English and Spanish.
Submission deadline
The deadline for submitting requests is 31 July 2026. No letter will be processed after that date.
Important
There is no cost for congress attendees to have an invitation letter issued.
Any costs related to visa preparation and processing must be paid and arranged directly with embassies, consulates or specialised agencies. SEPES does not provide coordination with embassies or consulates; it only provides the service of issuing the congress invitation letter.
SEPES reserves the right of admission to the congress if false requests are detected. The relevant authorities will be informed of such requests.
Invitation letters will be signed by the technical secretariat of the event. They will not be signed by the board of directors or committee members.
The invitation letter process will only be handled by email and individually; group invitation letters will not be issued under any circumstances.
The letter will only be sent in PDF format. If the original document is altered, SEPES reserves the right to inform the relevant authorities.
